Inviting Contractors

Velocity Global Contractor Management is a powerful system for paying freelancers.

Velocity Global Contractor Management offers out-of-the-box compliance, effortless payments, and dashboards for your contractor team.


Inviting Contractors

A contractor is a freelancer or contractor that works for you. They can be subcontractors, extended team members, or business partners. A contractor is not an employee paid on a W2.

  1. To invite a new contractor, navigate to the Send Payments section in the left-hand sidebar and select Contractors. At the top right, click the Add contractor button:

  2. In the popup window, complete all of the required fields below. Once all necessary information is entered, click Add contractor:

If the contractor already has a Velocity Global Contractor Management account and is set up for digital payments, you can send them payments immediately. If not, the system will send an invitation to the contractor via email to set up their account.

While we do collect W9 or W8 information for contractors, they do not need to pay for a subscription to receive payments.

If a contractor has not yet enabled digital payments, Velocity Global Contractor Management will create "pending" invoices for them; when they enable digital payments, these invoices will be opened and paid out automatically.


Bulk Upload Contractors

You can also add multiple contractors through our bulk upload option, which allows you to upload a spreadsheet with all of your contractors' information, rather than adding each individually.

  1. To perform a bulk upload, click the three-dot icon menu icon next to Add contractor and select Bulk upload contractors:

  2. On the next screen, you can click Download Example to download a template or Create upload batch to upload your spreadsheet of contractors. You can also click See imports to review all contractors you've uploaded:

  3. If you choose to use the template, you'll need to enter the first and last name of the contractor, their email, phone number, and their contractor ID:

  4. Once you've completed your spreadsheet, click Upload contractors and you'll be taken to a confirmation page. Click Import contractors to continue.

  5. Click Upload spreadsheet and select the file you'd like to upload. You'll be shown all the data in the spreadsheet that will be uploaded.

  6. On the next screen, you'll be shown all the columns to be imported. If any of your columns do not match with the template name, you can click the template field to select another option, or you can click the down arrow to remove the field from the import:

  7. You'll then be shown all fields and data in your file. Once everything looks correct, click the Import record button to complete the upload:

  8. If everything was entered correctly, you'll be shown the screen below with the number of contractors next to Imported. Click Submit to complete the upload process:

  9. After clicking Submit, you'll be taken back to the Importer, where you can click Import contractors to add all items in the spreadsheet. You can also click Delete import if you wish to start over.

  10. Once the import is complete, you'll see a summary of your import and the total number of contractors added. You can click See all to review all contractors that were added by the import.
